EXHIBITOR MANUAL - WHAT INFORMATION IS IN IT?

The exhibitor manual contains all information relating to the show. It is split into sections for ease of navigation. Please use the search button if you are looking for a specific term. We recommend that you read each section that is relevant to you, in detail, before arriving onsite to ensure you have everything you need for your stand.

Show Info Section contains Show Time table, Show information, venue information, stand construction, Health & Safety etc.

Task Section contains all the tasks allocated for you to complete based on your stand package.

WHAT IS THE DIFFERENCE BETWEEN SPACE ONLY AND SHELL SCHEME?

If you book a space only stand that is all you get “the space”. AND If you book a shell stand this will include the below:

  • Carpet in light grey colour
  • 2.5m Octanorm aluminum system
  • Fascia board with the exhibitor's name
  • One led spotlight per six square meters,
  • 2.3 KW power supply
  • Basic night cleaning

HOW CAN I ORDER SERVICES

You can order your requirements through the venue portal.

Venue Portal is for ordering any of your requirements like electricity, furniture, water & waste, etc. for your stand from the venue directly.

HOW CAN I REGISTER FOR MY EXHIBITOR BADGES?

  • All exhibitors, including any members of your team who will work on the stand during the show, must register for badges. Please see the Exhibitor Registration page of the exhibitor manual Show info section.
  • An email will be sent from the registration system for you to create an account. Once your account is created your allocated badges and exhibitor invites will be available there for use.

REGISTRATION INFORMATION & ALLOCATION?

A reasonable quantity of Exhibitor Badges will be supplied to Exhibitors. These are not transferable and it is requested that special care be exercised to prevent them getting into unauthorized hands. Exhibitors can apply for their badges through the correct registration form provided by the operations team. Additional exhibitor badges can be purchased for €25 per badge through your dedicated log in. The dedicated login will be sent to the email address we have on file with the subject line World of Coffee 2024. Please do check you junk email if you have not received it in your inbox. Exhibitor Badge Allocation:

  • 4 exhibitor staff badges per 0 - 9sqm
  • 8 exhibitor staff badges per 10 – 19 sqm
  • 10 exhibitor staff badges per 20 – 39 sqm
  • 14 exhibitor staff badges per 40 – 59 sqm
  • 16 exhibitor staff badges per 60 – 79 sqm
  • 20 exhibitor staff badges for 80 + sqm
  • Village Exhibitor badge allocation to 2 per tabletop

Customer Invite Allocations:

  • 10 free 1-day Exhibit Hall badges to give to customers for a 0 - 9sqm stand & Village Stands
  • 15 free 1-day Exhibit Hall badges to give to customers for a 10 - 19 sqm stand
  • 20 free 1-day Exhibit Hall badges to give to customers for a 20 - 39 sqm stand
  • 25 free 1-day Exhibit Hall badges to give to customers for a 40 - 59 sqm stand
  • 30 free 3-day Exhibit Hall badges to give to customers for a 60 -79 sqm stand
  • 40 free 3-day Exhibit Hall badges to give to customers for an 80 + sqm stand

If you require a lead scanner, you can order it directly from the exhibitor portal.

HOW MANY PORTALS ARE THERE IN WORLD OF COFFEE 2024

There are 4 Portals:

  1. Exhibitor Manual from Organisers
  2. Venue Portal from the venue to order majority of all services
  3. Registration Portal to register staff badges and access customer invites
  4. A2Z Floorplan Portal to upload your marketing information

Marketing information on the floorplan portal

We encourage all exhibitors to complete their marketing information on the floorplan portal as soon as possible. This will help you gain more exposure and attract more visitors to your booth. The marketing information you provide will be displayed on your profile on the live floorplan, which is accessible to all attendees and potential customers. To complete your marketing information, please log in to the floorplan portal using the link here.

BUILD UP & BREAK DOWN ACCESS

Badges are not required for Build up and Break down. It is only required during show days.

PARKING INFORMATION

Entrance 6 will be the main entrance and Entrance 4 will be the side entrance

CAR PARKING

Bella Centre Copenhagen Parking Cost: 150 DKK per day Location: Onsite at Bella Centre Copenhagen Availability: On a first-come, first-served basis Note: Parking permits can only be purchased onsite and cannot be prebooked.

Royal Golf Club Parking Cost: 50 DKK per day Location: Nearby at the Golf Course Availability: Subject to space availability Note: Parking permits can only be purchased onsite and cannot be prebooked.

OVERNIGHT CAR PARKING

If you have a valid permit, you can leave the car overnight. It is only possible at Bella Centre Copenhagen Parking and not the Royal Golf Club Parking

LOGISTICS INFORMATION

Interflow is our official logistics partner which we highly recommend to use for shipping as they can store packages arriving prior to 25th June, have storage onsite as well as other services.

STORAGE OF PACKING CASES

Storage of empties can be organised through our logistics partner for the event – Interflow - anderson.marisa@interflow.ie

BWT water + more WATER SUPPLY

We have your filtered water needs covered for the show with our Host Sponsor – BWT Water + more. All you need is to drop by the BWT stand Hall C, Booth CD-007. They will have a filling station at which you can fill your canisters with the best optimized water. Canisters will not be supplied. If you need to get one, we would advise ordering an initial water bottle/cannister from the Bella Center catering and then refilling this on the BWT booth (or your nearest filling station).
